Handle a data request: export or anonymize one person

Give someone a copy of everything you hold on them, or erase their personal details while keeping your counts intact.

If someone asks what you hold on them, or asks you to erase it, both are one click on their record.

Give them a copy of their data

  1. Open Attendees and click the person's row.
  2. Click GDPR data export.

You get a file with everything held for them on this event: their record, their registration answers, their order, their check-in activity and their email history. Send it to them.

Erase their personal details

  1. Open their row.
  2. Click Anonymize (erasure).
  3. Confirm.

Their name, email and answers are stripped. The record itself stays, without anything identifying them.

Anonymize or delete?

This trips people up, so it is worth being precise.

Anonymize removes the person from your data but keeps the row. Your attendance count, revenue figures and reports stay correct. This is what a right-to-erasure request actually calls for, and it is what you should almost always use.

Delete removes the row entirely. Your counts drop, and a past event's reports change retrospectively.

Export their data first, then anonymize. Once anonymized there is nothing left to export, and requests often ask for both a copy and an erasure.

What happens next

Anonymizing is immediate and cannot be undone. There is no way to recover the name or email afterwards.

Their QR code stops being associated with a person, so if they turn up on the day they will need to be added again as a new attendee.

Anonymize after the event, not during. Someone who asks in the week before still needs their ticket to get in, and you will have erased their email address before you can send it.

Common problems

They asked for erasure but are still attending. Confirm they understand they will lose their ticket, and agree a time — usually straight after the event.

You anonymized the wrong person. It cannot be reversed. Ask the real person for their details and add them again with Add an attendee manually.

They want removing from your mailing list, not erasing. Different thing. Cancel their status or tag them so your campaign filters exclude them — see the Marketing guides.
