Invitations list with the send by email action
Two ways to send
Everyone not yet responded — leave rows unticked. This is the safe default for a chase: nobody who has already accepted or declined is emailed again.
Only ticked rows — tick specific people. Use this for a first send to one group, or to re-send to a particular guest.
Sending to one person
Each row has its own send and resend. Use it when a VIP says they never received it.
Before the first send
Send one to yourself. Add your own address to the list, send only to that row, and read what arrives on a phone. Check the wording, that the accept link works, and what accepting actually does.
Then delete your test entry.
Invitations cannot be recalled. Once sent, they are in real inboxes belonging to the people you least want to send a correction to. Test first.
Chasing
A typical pattern: send, wait a week, then send again to everyone who has not responded. Leaving the rows unticked does exactly that without troubling the people who already replied.
Two chases is usually the limit before it reads as pestering. After that, a personal email from a real person works better than another automated one.
What happens next
Statuses update as people respond — see Track who accepted and declined.
What happens when someone accepts depends on your setting — see Choose what happens when someone accepts.
Common problems
A VIP says nothing arrived. Check the address for a typo first. Corporate filters are aggressive with bulk mail, so for genuinely important guests, follow up personally rather than resending a third time.
You sent to the wrong group. Nothing can be done about mail already sent. Send a short apology to the same people rather than hoping nobody noticed.
Everyone got it twice. You ticked rows *and* expected the unticked behaviour. Ticking sends to the ticked rows regardless of their status.
The wording is wrong. Fix the template and resend to anyone who has not responded — see Edit the invitation emails.
You want WhatsApp instead. See Send invitations by WhatsApp.
