Choose what happens when someone accepts an invitation

Confirm invitees instantly, or send them to the registration form with their details pre-filled.

Invitations are for named guests you already know: VIPs, partners, press, speakers. You add them, evenclo emails them, and they accept or decline.

Set this behaviour first — it changes what every invitee experiences.

The two options

Confirm immediately — accepting makes them a confirmed attendee right away and emails their QR ticket. No form to fill in.

Send to the form — accepting opens your registration form with their name and email already filled in and locked. They complete the rest.

Steps

  1. Open Invitations.
  2. Choose what happens on Accept.

Which to choose

Confirm immediately for people you must not make work: a keynote speaker, a government guest, a sponsor's chief executive. One tap and they are in. The cost is that you collect nothing beyond name and email — no dietary requirements, no session choices, no badge details beyond the basics.

Send to the form when you need their answers. Their name and email are locked so they cannot be changed, but everything else is asked as normal. The cost is friction, and some senior invitees will simply not finish it.

If you need answers from VIPs but cannot risk the friction, use Confirm immediately and collect what you need by email afterwards. A confirmed guest you have to chase is better than an unconfirmed one who abandoned your form.

What happens next

Accepted invitees appear in your attendee list like any other registrant, and can be filtered, exported, badged and checked in normally.

Declines are recorded against the invitation.

Changing this setting later does not affect invitations already accepted. Decide before you send.

Common problems

Invitees are confirmed but have no form answers. That is Confirm immediately working as designed. Collect what you need separately.

They accepted but never finished the form. Send to the form means accepting only opens it. Someone who abandons it is not registered — check for invitations marked accepted with no matching attendee.

You want different behaviour for different guests. One setting covers all invitations for the event. To mix, send some invitations and register the rest yourself with Add an attendee manually.

Invitees need a ticket type. They are assigned as they come through. Check the attendee list and adjust with Edit an attendee's details if it is not what you wanted.
