Track who accepted and declined

The Invitations page shows counts by status and a per-person state, so you always know where a guest list stands.

The statuses

Not sent — on your list, nothing has gone out. See Send invitations by email.

Sent — the invitation went out, no reply yet.

Accepted — they said yes. Depending on your setting they are either already a confirmed attendee or have been sent to the form. See Choose what happens when someone accepts.

Declined — they said no.

Chasing the silence

Most non-responses are not refusals — the invitation was missed, filtered, or opened on a phone and forgotten.

A workable rhythm:

1. Send.
2. After a week, resend to everyone not yet responded (leave rows unticked).
3. After another week, switch channel — WhatsApp the ones you have numbers for.
4. After that, a personal email from a real person, to the few who genuinely matter.

Then stop. A fourth automated chase to someone who has ignored three is not going to work.

Accepted, but not registered

Worth checking if you use Send to the form. Someone can accept and then abandon the form, which leaves them accepted on this page but absent from your attendee list.

Compare your accepted count against your attendee list. Anyone in the gap needs a nudge, or adding by hand.

What happens next

Accepted invitees flow into your attendee list and are treated like any other registrant for badges, check-in and reporting.

Common problems

Accepted here, missing from Attendees. They never completed the form. See above.

Someone accepted twice. They were on your list twice. Merge them — see Find and merge duplicate attendees.

A guest says they accepted but shows as sent. They probably opened the email and did not tap the link. Resend to their row.

You want to remove someone. Delete their row. Anything already sent to them cannot be recalled.

Declined but now attending. Add them directly with Add an attendee manually rather than reworking the invitation.
