Invite someone to your team

Add a colleague, set their role, and resend or deactivate when things change.

Who can do thisowner

Team members belong to your workspace, not to a single event, so you invite someone once and they can work across every event you run.

Only an owner can invite people or change roles. Read What each team role can do first — picking the right role now avoids reworking it later.

Steps

  1. Open Team in the sidebar.
  2. Fill in their First name and Email, and choose a Role.

The role descriptions are listed underneath the form, and Owner is not offered here — see below.
  3. Click Send invite.

What happens next

They get an email with a link to set their own password. You never set it for them, and you cannot see it.

Until they follow that link their row shows as pending, and you can Resend the invite from their row.

Changing a role, or turning access off

From each member's row you can:

Deactivate is the right move the instant a check-in laptop or phone goes missing at a venue. It is instant, and it is reversible — reactivate them when the device turns up.

Making someone an owner

The invite form does not offer Owner. To promote someone, invite them as Admin first, then change their role to Owner from their row once they have accepted.

Set up a second owner before you need one. Only owners can manage the team, so if your single owner is on leave or leaves the company, nobody can invite staff or fix roles until they are back.

Common problems

You cannot see the invite form. You are an admin, not an owner. Admins can be shown the Team page but cannot invite or change roles.

The invitation never arrived. Check spam, then check the address character by character. Invitations go to that exact address — an alias or a forwarding group often silently drops them. Use Resend once you have confirmed it.

They set a password but cannot sign in. Confirm they are signing in at dashboard.evenclo.com with the same address the invitation went to.

You want to remove someone completely, not just deactivate them. Deactivating is what you want in almost every case, and it keeps their history intact. Full removal is on the Team panel of Your events, not the Team page in the sidebar.
