Send a survey to your attendees

Email or WhatsApp a survey, schedule it for after the event, and remind only the people who have not answered.

Each attendee gets their own link. That is what lets evenclo record who answered, stop one person answering twice, and remind only the people who have not replied.

Send it by email

On the Surveys page, pick the survey and find Send it.

Email template — leave it on *Create one for this survey* the first time. evenclo writes a short template with a button that points at the survey and saves it under the name Survey: <your survey name>. Edit the wording afterwards in the Email editor like any other template; the next send reuses your edited copy rather than overwriting it.

Send at — pick a date and time. If your event has an end time, the 2 hours after the event ends button fills it in for you. That is the sweet spot: late enough that people have left, early enough that they still remember.

Click Schedule the send. The email goes out through the same scheduler that runs your other campaigns, so there is nothing new to switch on.

Whatever template you use, it has to contain {{survey_link}} somewhere. That tag becomes each recipient's own link when the email is sent — one per person, not one for everybody.

If you pick a template that never uses it, evenclo still schedules the send and warns you in red: recipients would get an email with no way to open the survey. Fix the template and schedule again.

The other merge tags work as usual, so Hi {{first_name}}, how was {{event_title}}? reads the way you would expect.

Remind the people who have not answered

Tick Only people who haven't answered yet and schedule a second send a few days later. Anyone who already replied is skipped — including on an anonymous survey, where evenclo can tell that a person has answered without recording what they said.

This is the single highest-value thing you can do for your response rate. A first send typically gets you most of your answers; one reminder usually adds half as many again.

Send it over WhatsApp

Click Send over WhatsApp →. WhatsApp campaigns are built on the WhatsApp page because they need a Meta-approved template, which is not something that can be written on the fly.

Build the campaign there as usual, and map one of the template's variables to the survey_link tag. Attach the campaign to this survey when you create it, and the *only people who haven't answered* filter works there too.

WhatsApp reaches people who never open event email, so for a regional audience it is often worth the extra setup.

Watch it go out

The Sends list under the send form shows every scheduled and completed send for this survey — email and WhatsApp together — with its status and how many went out.

Common problems

"Open the survey before sending it." — the survey is still a draft. A draft link shows a "not found" page, so evenclo will not mail one out. Set Status to Open, save, and send again.

Nobody is receiving it — check the audience actually contains people, and that the attendees have email addresses. A scheduled send that has not reached its time yet sits in the list as *scheduled*.

The link says the survey has closed — check the Closes date. Answers stop the moment it passes, even for someone who opened the email earlier.

What happens next
