Rate and qualify a lead
For exhibitors — record how promising a lead is while the conversation is fresh.
This guide is for exhibitors. Organizers, see Set the lead qualification questions.
After scanning, you can record how the conversation went. Do it there and then — thirty seconds now saves an hour of guesswork next week.
What you can record
Rating — 1 to 5 stars.
Temperature — Hot, Warm or Cold.
Notes — free text.
Qualification questions — whatever the organizer set up for this event.

Agree what the ratings mean before the doors open
Ratings are only useful if your whole team uses them the same way. Five minutes at the start of day one:
- Hot — a real opportunity. They have a need, some authority, and a timeframe. Follow up within 48 hours.
- Warm — genuine interest, no immediate timeline. Worth a considered follow-up.
- Cold — collected a brochure, or is a student, competitor or job seeker. Newsletter at most.
Without that agreement, one person's "hot" is another's "was polite to me", and the ratings are worthless when you get back to the office.
Notes are the most valuable field
The rating tells you *how much*. The note tells you *what to say*.
Write the thing you would otherwise forget:
- What they actually asked about.
- Any objection they raised.
- Something personal — the conference they mentioned, the project they described.
- What you promised to send.
A follow-up email that references the actual conversation gets replies. A generic "great to meet you at the show" does not. The note is the difference, and it takes ten seconds while they are still standing there.
What happens next
Everything is saved with the lead and included in your export — see Review, edit and export your leads.
You can edit a lead afterwards if you need to add detail.
Common problems
The questions do not fit your product. They are set by the organizer and shared across all exhibitors. Use Notes for anything specific to you.
You forgot to add a note. Edit the lead from My leads — but do it the same day, while you still remember.
Your team rated inconsistently. Agree the definitions before day one. It is too late to normalise afterwards.
Ratings are missing on some leads. Only the scan is required; everything else is optional. Fewer fields filled means better completion, so prioritise notes over ratings if you must choose.
