Set what a package includes and requires

List what the buyer gets, and what you need them to send you.

Every package has two lists, and they pull in opposite directions.

Entitlements — what the buyer gets.

Requirements — what you need from them.

Steps

  1. Open Exhibitors, go to Catalog, and open the package.
  2. Use Add entitlement for each thing they receive.
  3. Use Add requirement for each thing you need from them.

Writing entitlements

These appear on your public exhibitor page and are what sells the package. Be specific and countable.

Good:

Vague entitlements ("premium branding", "enhanced visibility") produce arguments later about what was promised. Write them as if someone will hold you to each line, because they will.

Writing requirements

Requirements are what the exhibitor must send you: a logo, artwork, a company description, insurance documents, staff names.

Each requirement has a stable key. This is the part worth understanding: the key means a shared asset is only asked for once. A company buying three packages that each need a logo is asked for their logo one time, not three.

Use the same key for the same asset across packages. Different keys for genuinely different things.

Ask for less than you think. Every requirement is something you will chase. If nobody will actually use the 300-word company description, do not ask for it — you will spend a fortnight collecting them and then not publish them.

What happens next

Entitlements appear on your public exhibitor page.

Requirements appear in the exhibitor's portal after they are confirmed, so they can upload as they go and you can see who is outstanding.

Both live in the catalog, so they apply to every event using this package.

Common problems

Exhibitors ask what they get. Your entitlements are too vague. Rewrite them as specific countable items.

Someone was asked for the same logo three times. Different requirement keys for the same asset. Make them match.

Nobody uploads anything. Requirements only appear once confirmed. Check they are actually confirmed, then chase — the portal is a place to upload, not a reminder system.

You need a requirement for one event only. Requirements are per package, and packages are shared. Create a separate package.

You promised something not on the list. Add it as an entitlement so the record matches the deal — otherwise next year nobody remembers.
