Add venues and halls

Set up the physical spaces your booths live in, once, for every event.

Venues and halls are the physical structure your floor plan sits on. They live in the shared catalog, so a venue you use every year is set up once.

Steps

  1. Open Exhibitors and go to the Catalog tab.
  2. Click Add venue and give it a name and Address.
  3. With the venue selected, click Add hall for each hall inside it.

  4. Save.

Venues and halls

A venue is the building. A hall is a space inside it.

Even a single-space event benefits from one venue and one hall — the floor plan needs a hall to put booths in.

Multi-hall events use halls to keep sections separate: "Hall A — Technology", "Hall B — Startups", "Foyer".

Naming

Use the venue's own names, exactly as the venue uses them. If the signage says "Hall 3", call it Hall 3, not "Main Exhibition Space".

Exhibitors and attendees navigate by what is on the wall, and a mismatch between your floor plan and the building's signage causes real confusion on the day.

Background plans

Each hall can carry a background image of the actual floor plan, so you position booths over the real layout — see Manage halls and background plans.

Get the architectural plan from your venue. Most will send a PDF or an image on request, and working over the real layout is dramatically easier than guessing.

What happens next

Halls become available on the Floor plan tab, where you add booths — see Create and position booths.

Venues and halls are shared, so next year's event reuses them and you only rebuild the booths.

Common problems

You cannot add booths. No hall exists yet. Create the venue and at least one hall first.

A hall is missing from the floor plan. It belongs to a different venue than the one selected.

The venue changed layout between years. Keep the venue and hall, and rebuild the booths. Layout lives with the booths, not the hall.

Deleting a venue. Do not delete one a past event used — your records reference it. Leave unused venues in place; they cost nothing.
