Turn on lead capture

Let your exhibitors scan attendee badges and collect leads at their booth.

Lead capture lets booth staff scan an attendee's badge and record them as a lead. It is one of the most valuable things you can offer exhibitors, and one of the easiest to get wrong on privacy.

Steps

  1. Open Leads.
  2. Turn lead capture on for the event.
  3. Choose what attendee details are shared.
  4. Write the Consent reminder shown to booth staff.

  5. Click Save settings.

This text is shown to booth staff in the capture app, every time.

It exists because the person being scanned is handing over their contact details to a third party, and the booth staff — often temporary staff who started that morning — are the ones who have to ask.

Write it as an instruction they can act on, not a legal notice:

Ask before you scan. Tell them their name, email and company will be shared with us so we can follow up.

Keep it short. A paragraph gets ignored; one sentence gets read.

You are the one with the relationship with your attendees, and you are the one they will complain to if their details turn up somewhere they did not expect. Say clearly in your registration terms that badge scanning shares details with exhibitors, and make the consent reminder unambiguous.

Tell your attendees too

Put it in your confirmation email or your FAQ: their badge carries a QR code, exhibitors can scan it, and scanning shares their details. Nobody should be surprised.

Common problems

Exhibitors say the link does not work. Lead capture is off, or they are not confirmed.

Scanning does nothing. The attendee's badge has no valid QR code, or the badge encodes a custom URL rather than the check-in token — see Add text, QR codes, images and shapes.

Exhibitors want more data than you are sharing. That is your decision, not theirs — see Choose what exhibitors see.

An attendee complains about being contacted. Have your consent wording and registration terms ready. This is why both matter.

You cannot find the settings. Owner and admin can change them; finance and viewer see the page read-only.
