What each team role can do

The five roles, what each one can actually change, and why seeing a page in the sidebar is not the same as being able to use it.

There are five roles. Read this before you invite anyone — picking the right one first time saves a lot of "I can't click the button" messages later.

The five roles

Owner — everything, including managing the team. Only an owner can invite people, change someone's role, or deactivate them. Your workspace needs at least one.

Admin — everything except managing the team. This is the right role for most people actually running the event.

Finance — intended for the money side: orders, refunds, reconciliation. In practice, treat this as a read-only seat today and see the warning below before you assign it.

Check-in staff — the check-in page and the print kiosk. They can look someone up, scan them in, and correct details at the door. They cannot see your tickets, reports or settings. This is the role for temporary staff and volunteers.

Viewer — read-only everywhere they can see. They can look and export, and change nothing. Good for a client, a sponsor contact, or a colleague who only needs numbers.

Seeing a page is not the same as using it

This is the thing that confuses people most.

The sidebar shows a slightly wider set of pages than each role can actually change. A finance or viewer user sees Attendees, Leads and Reports and can read and export from them — but every button that saves, edits or deletes will refuse.

So "I can see it but it won't let me" is usually your role working as designed, not a fault.

One real gap to know about: finance and viewer users are shown Tickets in the sidebar, but the Tickets page will not load for them — not even read-only. Until that is fixed, anyone who needs to work on tickets, discounts, refunds or reconciliation needs admin or owner. If you have already given someone finance expecting them to handle refunds, they cannot; change their role or do it for them.

Changing someone's role

Only an owner can do this.

  1. Open Team in the sidebar.
  2. Choose the new role from the dropdown on that person's row.

The change takes effect immediately — the person does not need to sign out and back in. The same is true of deactivating someone, which is why it is the right move the moment a laptop goes missing at a venue.

Common problems

You are an admin and cannot see the Team page controls. Team management is owner-only. Admins can be shown the page but cannot invite or change roles.

Someone says a button does nothing. Confirm their role first. Finance and viewer can read but not save, and the button refusing is the expected behaviour.

You need a second owner. An existing owner can promote someone to owner from the Team page. Do this before the only owner goes on leave.

You want to remove someone entirely. Deactivating them is usually what you want, and it is reversible. Full removal is available from the Team panel on Your events rather than the Team page in the sidebar.
