Run a WhatsApp campaign

Pick an approved template, choose the audience, send now or schedule, and pause if needed.

Steps

  1. Open WhatsApp and go to Campaigns.
  2. Click New campaign and give it a name.
  3. Pick an approved Template.
  4. Set the Audience by ticket type and registration status. A live count appears as you filter.

  5. Send now, or schedule it for a date and time.
  6. Or Save draft to come back to it.

Check the count

The audience count updates as you change the filters. Read it before sending.

WhatsApp reaches people on their personal phone, so a filter mistake is more intrusive than the same mistake by email — and more likely to be reported.

Sending, pausing and cancelling

A campaign in progress can be paused, then resumed. Use pause the moment you notice a problem mid-send; it stops the remaining messages.

Cancel stops it entirely. Delete removes it.

Messages already sent cannot be recalled.

Use it sparingly

WhatsApp is personal space. The open rate is exactly why it works, and exactly why over-using it costs you.

A sensible ceiling for an event: two WhatsApp messages. The reminder the day before, and anything genuinely urgent on the day.

Everything else — programme details, thank-yous, next year's announcement — belongs in email.

Complaints and blocks on WhatsApp affect your number's quality rating with Meta, and a poor rating restricts how much you can send. Unlike email, over-sending here has a direct mechanical penalty, not just a reputational one.

What happens next

Messages send through your connected number. A finished campaign has a read-only delivery report.

The dispatcher will not message the same recipient twice within a campaign, so a retried or resumed run does not double-send.

Common problems

The send button is disabled. A prerequisite is missing — see Before you can send WhatsApp messages.

The audience count is zero. Your filters exclude everyone, or nobody has a phone number.

Some recipients were skipped. No number, no country code, or the number has no WhatsApp account.

Delivery is slow. Meta rate-limits sending. A large campaign takes time; this is normal.

Messages failed after some succeeded. You may have hit a messaging limit. Check your account status at Meta.

You want to change the wording mid-campaign. Not possible — content comes from the approved template. Pause, and start a new campaign with a different template.
