How exhibitors work in evenclo
Catalog, packages, applications, booths and leads — how the pieces fit before you set anything up.

The exhibitor side has more moving parts than the rest of evenclo. Ten minutes here saves you setting it up twice.
The flow
- You build a catalog of packages — booths, sponsorships, bundles. The catalog is shared across all your events.
- You add packages to an event and set this event's price and availability.
- Companies apply through your public exhibitor page.
- You approve or reject each application, and confirm a booth.
- They pay, by card or bank transfer.
- They get a portal to send you what you need from them and manage their listing.
- At the event, their staff capture leads by scanning attendee badges.
The catalog is shared, the pricing is not
This trips people up. Your catalog — the packages themselves, what each includes, what you need from the buyer — belongs to your workspace and is reused across every event.
The price and availability are set per event. So "Gold Sponsor" is defined once, and costs whatever you decide at each event.
Build the catalog once, properly, and every future event gets faster.
The tabs
Packages — which catalog packages this event sells, and at what price.
Exhibitors — one card per company. Open one and you get everything about that exhibitor in one place: their booths and what they paid, every requirement and what they have sent for it, their contacts and stand staff, the leads they have captured and the meetings in their diary.
Operations — the work rather than the companies: applications waiting on you, requirements to review, past exhibitors to invite back, and rejections.
Payments — bank transfer receipts to check.
Floor plan — halls, booths, and whether attendees can see the plan.
Meetings — 1:1 meeting settings and the booked diary.
Catalog — your shared package definitions, venues and halls.
Where to start
For a first event, in this order:
- Add venues and halls
- Build your package catalog
- Set what each package includes
- Add packages to this event
- Set your application questions
- Set up the floor plan, if you are selling specific booths

Exhibitors are not attendees
An exhibitor company is a separate thing from a registrant. They sign in to their own portal with a link you send them, not with an evenclo dashboard account.
Their booth staff, though, usually do need to attend — register them as attendees so they get badges and can be checked in.
Common problems
Nobody can apply. Your event has no packages added, or the exhibitor page is not on your site. Add an exhibit apply section — see The section types.
A package is missing from the event. It is in the catalog but not added to this event. See Add packages to this event.
Applications come in but nothing happens. Approving is manual. See Approve or reject an application.
You cannot see the Exhibitors page. Owner and admin only.
