Manage halls and background plans

Switch hall

The Floor plan tab shows one hall at a time. Use the hall selector to move between them.

Each hall has its own booths and its own background image.

Upload a background plan

1. Open Exhibitors, go to Floor plan, and select the hall.
2. Upload a Background image.

   

3. Position your booths over it — see Create and position booths.

Replace or delete it at any time.

Getting a usable plan image

Ask your venue for their architectural floor plan. Most will send a PDF or CAD export on request, and it makes everything downstream easier.

Prepare it before uploading:

• Export as an image, PNG or JPEG.
• Crop to the hall itself. Trim the surrounding building, title blocks and legends.
• Keep it simple. Strip dimension lines, furniture and services from the CAD export if you can — you want walls, doors and pillars, not an engineering drawing.
• Around 2000px wide is plenty. Compress it; a 15 MB plan makes the page slow for every attendee.
• Match the aspect ratio to the real hall, or your booth positions will not correspond to the physical space.

What happens next

The background appears behind the booths in the editor and on the public plan, if it is visible to attendees — see Turn on the floor plan.

Common problems

Booths do not line up with the plan. The image aspect ratio does not match the hall. Re-crop it.

The plan is unreadable on a phone. Too much detail. Simplify it — attendees are looking at a small screen in a busy hall.

Uploading fails. The file is too large. Compress it.

The wrong hall's booths are showing. Check the hall selector.

You have no venue plan. Draw a simple block outline showing entrances, aisles and pillars. A rough accurate plan beats an accurate plan you do not have.

The plan changed after you built the layout. Replace the background image. Booth positions stay where they are, so check and adjust them.
