Send the capture link to your exhibitors
Get the lead scanner into your exhibitors' hands before the doors open.
Exhibitors reach the lead scanner through a link. No app to install, no account to create — they open it on a phone and start scanning.
Steps
- Open Leads.
- Either:- Copy the capture link, to paste into your own exhibitor briefing, or- Email the link to all exhibitors with an email address, or- Send it to one exhibitor from their row.

Send it early
Send it a week before, not on the morning of the event.
Booth staff are often not the person who booked the stand. They arrive on the day, are handed a phone, and are told to scan people. If the link is in an email sent an hour earlier to someone who is not there, that booth captures nothing all day.
A week gives the exhibitor time to forward it to whoever is actually working the stand, and to try it once.
What to send with it
The link alone is not enough. Include:
- What it does — scan a badge, capture a lead.
- That it needs no app or login.
- That it works offline and syncs later — see Capture leads without a connection.
- A reminder to ask before scanning, matching your consent wording.
- How to get their leads afterwards.
Send it twice — once a week out, once the evening before. The second one is the one that reaches the person actually on the stand.
What happens next
Exhibitors open the link and start capturing — see Scan and save a lead.
Leads appear on your Leads page as they sync, and each exhibitor sees only their own.
Common problems
An exhibitor says the link does not work. Lead capture is off for the event, or they are not confirmed. Check both.
Some exhibitors were not emailed. They have no email address on their record. Fix it and resend to those rows.
Booth staff never got it. Almost always the case when the exhibitor was emailed once, late. Send early and tell them to forward it.
They want one link per staff member. One link per exhibitor covers their whole team; leads land in the same place regardless of who scanned.
They lost the link. Resend from their row.
